Importing your data
Your practice history probably lives in a spreadsheet. Here's how to move it into Therapy Manager in one sitting — clients, sessions, fees, and payment status — with a preview before anything is saved.
Create your clients first
The import matches each spreadsheet row to a client by ID or exact full name — so every client in your sheet must exist in the app before you upload. Add your clients on the Clients page first, then import. Rows referring to unknown clients are skipped with a “Client not found” error.
Download the pre-filled template
From the Import page, click Download template. You get an Excel file (.xlsx) with the correct column headers and your existing clients already listed — IDs filled in, so you never have to remember them.
Understand the columns
Six columns, case-insensitive headers:
client_id(required) — the ID from the template, or the client’s exact full namedate(required) — the session date (formats below)status(required) —completed,no_show,cancelled, orscheduledfee(required) — a plain number like1500, no currency symbols or commasis_paid(optional) —yes,true, or1for paid; anything else (or empty) means unpaidnotes(optional) — free text; leave empty rather than deleting the column
Get the dates right
Several formats are accepted — DD/MM/YYYY, DD-MM-YYYY, YYYY-MM-DD, DD/MM/YY, 25 Mar 2024, and MM/DD/YYYY.

- One row = one session. A client with 10 past sessions gets 10 rows.
- Fees are plain numbers: write
1500, not₹1,500. - You can type the client’s exact full name in
client_idinstead of the ID — it’s matched automatically.
Upload, preview, import
Save as .xlsx or .csv and drop the file onto the Import page. Every row is previewed before saving: valid rows are marked green, problem rows red with the exact error. Click Import to save all valid rows at once.
Common issues, quick fixes
- “Client not found”— the name doesn’t exactly match your Clients list; fix the spelling or use the template ID.
- “Invalid date” — typo, or a format outside the accepted list in step 4.
- “Invalid status” — must be exactly
completed,no_show,cancelled, orscheduled; watch for extra spaces. - “Fee must be a number” — remove currency symbols, commas, and text from the fee column.
